FAQ for data managers

Is it possible to run batch jobs to create multiple folders with varying usage rights?

Certainly, it is quite common for educational purposes to add numerous thesis students to Yoda. In order to facilitate this process, a template is readily available upon request. This template allows for the easy inclusion of research groups, identification of individuals requiring access to said groups, and the granting of appropriate permissions. For those interested in obtaining the template and instructions on how to utilize it, please contact yoda@leidenuniv.nl.

Do I need to comply with any regulations while working at a faculty?

Yes. Leiden University has a policy framework research data. Additionally, your faculty may have supplemented the general framework with regulations for the faculty

Would it be safe to add external emails that are not affiliated with the university?

It is safe to add someone to Yoda if you can verify their identity through their email address and have a researcher or Yoda user who can vouch for them. Keep in mind that the individual will only be able to access data that is relevant to the Yoda research group they are a part of.

It's important to note that a research group in Yoda is distinct from a research group in the academic world, such as those found in universities, departments, or chair groups. In Yoda, a research group refers to a parent folder assigned to an individual or multiple people for the purpose of storing and managing research data. If you require a research group for your project or research, you can make a request for a parent folder in Yoda to be assigned to you. It's worth noting that there are no limits to the number of research groups (i.e. parent folders) that you can request in Yoda.

Data that has not been published in Yoda does not have any available DOIs. However, upcoming versions of Yoda will include EPIC handles as identifiers for data packages stored in the Yoda Vault. It is important to note that no persistent identifiers are currently accessible for data in the Yoda Research area.

In case you are working on a project with Leiden University, but not employed by the university, you can request Leiden University Yoda access through Leiden University employees. If this option doesn't apply to you, your institute may have the ability to set up their own Yoda system. Yoda is an open-access platform that can be implemented freely, and you can find information on Yoda installation and system files on Github. If you're interested in installing Yoda and need assistance or information, feel free to contact yoda@leidenuniv.nl.
